You need the right phrases, available in the moment: in the meeting, in the email, in the interview. That’s a memory problem more than a knowledge problem, and memory has rules. Here’s a method built on them that takes about ten minutes a day.

Step 1: Choose words from your real work

Generic word lists teach you words you’ll never use. Start instead with the language around you:

Phrases colleagues use in meetings that you understood but wouldn’t say yourself (“let’s take it offline”, “I don’t have the bandwidth”).

Lines from emails you admired: the polite follow-up, the clear request, the soft no.

Words from your industry that keep appearing in documents.

Keep a running note. Five new phrases a week is plenty. If you’re not sure where to begin, the highest-frequency areas are meetings, email and small talk; our guides to meeting phrases, email phrases and small talk cover the essentials.

Step 2: Learn each word as a card, not a translation

A translation tells you what a word means. It doesn’t tell you when to use it. For each phrase, capture four things:

circle back

phrasal verb · B2

To return to a topic or person later, instead of dealing with it now.

“Good point. Let’s circle back on that after the demo.”

How to use it: Very common in US offices. Safe and neutral, slightly overused. “Circle back with someone” = follow up with them.

A plain definition in English.

A real workplace example, ideally one you could say tomorrow.

A usage note: formal or informal? Chat or proposal? US or UK?

Collocations: the words it usually goes with. You “meet” a deadline, not “do” one; you “take” the minutes.

The usage note is what separates sounding fluent from sounding translated.

Step 3: Review on a spaced schedule

We forget most new information within days unless we review it. The fix isn’t reviewing more; it’s reviewing at the right moments. Spaced repetition shows you a word again just before you’d forget it, then waits longer each time you remember it.

Review

When

1st

1 day after learning

2nd

3 days later

3rd

7 days later

4th and beyond

14 days, then a month

A simple way to run it is the Leitner system: cards live in boxes; each time you know a card it moves to the next box (reviewed less often), and each time you miss it, it goes back to the first box. Be honest with yourself: if you hesitated, mark it “again”.

Step 4: Use it within 48 hours

Reviewing moves a phrase into recognition. Using it moves it into your active vocabulary. Within two days of learning a phrase, put it in a real message, a meeting or even a note to yourself. One genuine use is worth ten reviews.

Learned “heads-up”? Send one: “Quick heads-up: I’ll be offline after 4 today.”

Learned “weigh in”? Use it in your next meeting: “Can I weigh in on the timeline?”

Step 5: Keep it daily and small

Ten minutes every day beats an hour on Sunday, because spacing needs days to work. Tie the habit to something you already do: your first coffee, the commute, the five minutes before your first meeting. A streak helps more than willpower.

Prepare for specific moments

Daily practice builds the base. Before a high-stakes moment, binge a theme: interview phrases the week before an interview, negotiation phrases the night before a salary talk, presentation signposting before a pitch. See our guides to interview English and negotiation phrases.

Common mistakes

Learning lists alphabetically. Group by situation instead, so the words come back together when you need them.

Collecting, not reviewing. A notebook of 500 phrases you never revisit doesn’t help.

Chasing rare words. “Synergistic” impresses nobody. “Let’s align on next steps” gets used every day.

Skipping audio. If you’ve never heard a phrase, you may not recognize it in a fast meeting. Listen at least once.

Where WorkWords fits

We built WorkWords around exactly this method. Every day you get one work phrase with a plain definition, a real workplace example, a usage note, audio and translations. Reviews follow a Leitner schedule, and you decide whether you knew a word (“Got it”) or need it again (“Again”), so the app adapts to what you actually remember. Ten themed decks cover meetings, email, small talk, interviews, negotiation, presentations and more; Meetings, Email and Small talk are free.

Learn fewer words, better: pick phrases from your own meetings and emails, learn each with a workplace example and a note on when it fits, review them on a spaced-repetition schedule (1, 3, 7, then 14+ days), and use each new phrase in a real message within 48 hours.
